How the system works

How Ventiqa works

The shape of the whole system, in the order you meet it.

An event runs through five stages

  • You create the event and describe it: type, date, venue, hosts and the RSVP deadline.
  • You pay for the invitation records you need. One record is one invitation, whether it admits one person or two.
  • You build the guest list, one at a time or by uploading a spreadsheet.
  • Invitations go out over SMS or WhatsApp, and guests answer through a private link.
  • On the day, the door scans each guest in and the event closes with a final report.

Single and Double invitations

  • A Single invitation admits one person. A Double admits two on the same invitation and the same QR code.
  • Both cost one invitation record. The difference is how many people the door lets in, not what you are charged.

One rate, counted against invitation records.

The rate

  • Ventiqa charges TZS 1,500 for every invitation record on an event. There is no package fee on top and no separate charge for a Double invitation.
  • Events created before this rate existed are now priced the same way, so an older event's report shows 1,500 multiplied by the invitation records it holds.

Prepaid and usage-billed events

  • Customer events are prepaid: you buy a number of invitation records up front and the guest list can grow up to that number. Adding more is a top-up at the same rate.
  • Events Ventiqa staff prepare for you are billed afterwards from the records actually used, so the list is not capped while it is being built.
  • Either way the report shows which basis was used and the total it produced.

Add-ons

  • SMS bundles, extra scanner seats and extra coordinator seats are charged separately and appear as their own lines in the report.
